Open the direct messages of almost any small business and you will see the same five questions again and again: What is the price? Do you deliver? Where are you located? Is it in stock? How do I order? Typing a fresh answer each time wastes hours every week, and slow answers cost sales. Saved replies solve this, but only if they still sound like a real person. Here is how to build a set that works.
Most customers message several shops at once and buy from the one that answers first. A saved reply lets you respond in seconds, keeps your information consistent, and frees your time for the conversations that really need a human touch, such as custom orders and complaints.
Do not guess. Scroll through the last 50 to 100 conversations on Instagram, Facebook and Telegram and tally what people ask. Group similar questions together. You will usually find that eight to ten topics cover about 80 percent of all messages.
For every topic, write one short answer that:
Greeting, direct answer, helpful extra, next step. For instance: "Hi! Yes, we deliver across the city, usually within 24 hours. Delivery is free above a set amount. Which area are you in? I will check the exact time for you."
The difference between a helpful reply and a robotic one is small details. Use the customer's name, mention the product they asked about, and change the greeting depending on the time of day. Keep a few versions of the most common answers and rotate them so regular customers do not see identical text.
Saved replies are for simple, repeated questions. Do not use a template when a customer is upset, when the question is unusual, or when someone is ready to make a large purchase. In those moments, read the message carefully and write a personal answer. A template can open the conversation, but a human should finish it.
Review your replies once a month. Update prices, remove old promotions, fix anything that confused people and add answers for new questions. Track which replies lead to orders and improve the ones that do not.
With LevelApp you can keep your common answers ready, send automatic replies to the questions that repeat on Instagram, Facebook and Telegram, and see every conversation in one unified inbox. Routine questions are answered instantly, and you step in personally when a customer needs you.
